This Privacy Policy explains what information Dispatch Copilot collects, how we use it, how we share it, and how we protect it when you use the Chrome extension.

At Dispatch Copilot, we take your privacy seriously and are committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use it, how we share it, and how we protect it when you use the Dispatch Copilot Chrome extension (the "Extension").
By installing and using the Extension, you consent to the collection and use of your information as described in this Privacy Policy.
Information We Collect
When you install and use Dispatch Copilot, we may collect the following:
- Account information, such as your email address and basic profile information used to create and manage your account.
- Usage information, such as the features you use, the loads you search for, and how you interact with the Extension.
- Email data, where you connect a Gmail or Outlook account. This includes email messages and metadata (such as subject lines, sender and recipient addresses, and attachments) that may be displayed or used within the Extension, and the emails you send through the Extension. See the "Email Account Access" section below for full details.
- Technical information, such as browser type, device identifiers, and log data necessary to operate and secure the Extension.
Use of Information
We use the information we collect to:
- Provide, operate, and improve the Dispatch Copilot Extension and its features, including displaying your email inbox and enabling you to send emails directly from the Extension.
- Communicate with you, such as to notify you about updates to the Extension or, where you have opted in, to send you product-related material.
- Maintain the security, integrity, and reliability of the Extension.
We do not use your email content or any data obtained through Google or Microsoft APIs for advertising, marketing, or to train, develop, or improve any generalized artificial intelligence or machine learning models.
Email Account Access (Gmail and Outlook)
Dispatch Copilot includes an in-extension email inbox. To provide this functionality, we request the following permissions:
- Sign-in (Google and Microsoft) -
openid,email,profile. We request these basic identity scopes so we can create your account and let you sign in. - Gmail connection -
https://mail.google.com/. This is a broad scope that provides full access to Gmail (including read, compose, send, and manage). We request this scope so we can power email features inside the Extension. - Outlook connection -
openid,email,profile,offline_access, andhttps://graph.microsoft.com/Mail.Send. This is send-only access for Outlook. We do not request Outlook read permissions, and we do not read your Outlook inbox using Microsoft Graph.
We assure you of the following:
- We request these scopes only when necessary for the functionality of the Extension, and only after you connect your account.
- We will never send emails on your behalf without your explicit action.
- We will not store or share your email address, email content, or other personal information without the access being strictly necessary to operate the feature you are using.
- We will not use any emails read or sent through the Extension for any marketing, advertising, or model-training purposes.
- We will not sell your email data or any data obtained through these scopes.
- You may revoke our access at any time through your Google Account permissions or your Microsoft account settings, or by disconnecting your account within the Extension.
Limited Use disclosure
Dispatch Copilot's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We only use access to read and send Gmail messages to provide the in-extension inbox and email-sending features described to you.
- We do not transfer this data to others except as necessary to provide or improve these features, to comply with applicable law, or as part of a merger or acquisition with appropriate notice.
- We do not use this data for serving advertisements.
- We do not allow humans to read this data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes (such as investigating abuse), to comply with applicable law, or our use is limited to internal operations and the data has been aggregated and anonymized.
Sharing of Information
- We will not share your personal information with third parties for marketing or advertising purposes.
- We may share your personal information with third-party service providers strictly to operate the Extension (for example, hosting and infrastructure providers that store data on our behalf), under obligations of confidentiality.
- We may share certain user content with third-party AI and processing providers to provide AI-powered features (for example, processing document text and other content needed to generate suggestions), under obligations of confidentiality. We do not sell this data, use it for ads, or use it to train generalized AI models.
- We may disclose information where required to comply with applicable law, regulation, legal process, or enforceable governmental request.
Data Retention and Deletion
- We retain personal information only for as long as necessary to provide the Extension and for legitimate operational, legal, or security purposes.
- Email content accessed through the Gmail or Outlook APIs is processed to display and send messages and is not retained longer than necessary to provide the feature.
- You may request deletion of your account and associated data at any time by contacting us at the address below. Disconnecting your email account, or revoking access through your Google or Microsoft settings, immediately ends our access to your email data.
Load Board Page Data (DAT One)
When you use the Extension on the DAT One load board, we may read load details displayed on the page (such as origin, destination, rate, broker name, and broker contact information) so we can pre-fill broker emails, analyze loads, and provide booking-related features.
Documents and Financial Information (Rate Confirmations)
If you upload rate confirmation documents or similar files, we process the document contents to extract relevant information (such as broker name and the load's total payment amount in USD) to provide booking and workflow features. We do not use these financial details for creditworthiness decisions, lending, advertising, or to train generalized AI models.
Protection of Information
- We take appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.
- However, please note that no method of transmission over the Internet, or method of electronic storage, is 100% secure, and we cannot guarantee absolute security.
Children's Privacy
The Extension is intended for business use by professionals in the freight and logistics industry and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or to comply with legal requirements. We will post the updated policy with a revised effective date.
